Try it with your business information.

You do not need AI expertise or business software to get started.

  1. Your email, then confirmation

Create your access and confirm your email. Business questions come afterwards; you do not have to assemble a plan before starting.

  2. Your website, if you have one

Your website address helps prepare the information. Without one, you can provide it yourself. Either way, confirm your services, hours and useful facts.

    Information to confirm

Check what it can say, the area you serve, who it should notify and which requests need approval. Information found on your website is not a rule you must accept.

  3. A first task to delegate

Choose what would help: answering while you work, collecting requests or arranging the appointments supported for your industry. Relevant add-ons follow from that need.

  4. A test, then your adjustments

Test a situation from your business. Review what was understood and the proposed next step, then adjust your instructions before routing your calls.

You choose when it answers.

Keep your number and forward calls according to your line’s configuration: when you cannot answer, when the line is busy or under the arrangement you choose. Your base plan’s local number receives the calls you route to Zenvox.

Forwarding depends on your carrier and phone plan. Prepare hours, contacts and transfer rules in your instructions. Attempting a transfer does not mean your team has accepted the conversation.

A request moves forward under your rules.

Your receptionist uses your information, asks useful questions and performs authorised actions. You can see when confirmation is still needed.

A customer asks for a visit to assess a project. The receptionist gathers the project type, address and information the business requires.

If your rules and calendar allow a booking, the confirmed appointment is recorded. Otherwise, the business receives a visit request awaiting confirmation, with the information needed to continue the conversation.

Request received
The need, contact details and collected information are available for the next step.
Awaiting confirmation
A decision, detail or approval is missing. The request does not appear as already resolved.
Action confirmed
Confirmation refers to the action completed: a booked appointment is not a completed service.
Needs attention
If an action cannot complete, the request and reason remain available for your team.
What remains separate in this example

Booking a visit does not set a project price or a work date. Estimates are prepared and approved within the relevant add-on’s scope. Read access to software does not, by itself, allow changes to its calendar.

Find the next step, or ask about it.

Review requests, calls and appointments in your client space. Find their source and what needs your decision. Your receptionist can also answer questions using the business data you allow it to access.

“Which site visits are still waiting for confirmation?”

It finds the relevant requests and available information. If a customer did not provide a detail, it tells you instead of filling it in for them.

Delegate more when the need is there.

Base plans adapt to each industry’s requests. Add-ons introduce further tasks: estimates, file follow-ups, dispatch or written customer replies. Each page explains what is included and what is added.

Asking about your own data is part of the owner’s receptionist. Delegating customer conversations by text, social inbox or email is a different use, offered by channel.

You keep the decision.

  • You confirm the information, instructions and people to notify.
  • Decisions reserved for your team still need approval: an estimate price, repair authorisation or professional advice, depending on the task.
  • You choose software permissions. Each connection explains supported actions and what happens when the requested action cannot be performed.
  • Find your usage, add-ons and subscription settings in your client space.
