The shop, the situation, the configuration

An independent three-bay repair shop, four employees, in the suburbs. Nobody sits at a front desk: the owner answers between vehicles, hands dirty, often with a car on the hoist behind him. Autumn is the worst stretch: tire calls double or triple exactly when the shop is busiest.

The configuration is the Automotive base, on its own. It answers when nobody picks up, captures the vehicle and the symptom, gives a range where one exists, and passes the rest along. No add-on is switched on in this scene.

Two calls arrive eight minutes apart on a Saturday morning in October. The first wants a date for winter tires; the second wants to know whether his car is ready. Both land during a tire change, and the preset handles them differently.

ReceptionistWhich vehicle is it — year, make and model? And are your tires already on rims, or do they need mounting?

CallerA 2017 Corolla, tires on rims, sitting in my garage. How much is it, and do you store them?

ReceptionistFor a swap on rims the shop has a known range by tire size — I can give you that, and the exact amount is confirmed at the counter. For storage I am noting your request, and the shop confirms whether room is left this season. Which slot shall I hold?

CallerTuesday morning if you have it.

ReceptionistNoted, Tuesday morning. You get the confirmation by text within the minute.

Second call, 9:28 a.m. — callerJulie Tremblay. My car has been at your shop since Thursday, is it ready?

ReceptionistI cannot confirm where the work stands — I do not want you driving over for nothing. I am taking your name and your vehicle, and the service advisor calls you with the real answer as soon as he is out of the shop.

The first call leaves with a slot held, the vehicle, the state of the tires and the storage request written down. The second leaves with no invented answer, and a callback assigned to a person. The owner did not step away from the hoist once.

What is collected, and what happens to it

Six questions, all of them in the repair shop preset.

  • Name and callback number, before anything else
  • Year, make and model of the vehicle
  • Approximate mileage
  • Maintenance, repair, or a status request on a vehicle already at the shop
  • The symptom in the caller's words: noise, warning light, vibration, smell
  • Whether the caller has been in with this vehicle before

A breakdown at the roadside, smoke or a burning smell changes what follows: location is captured first and the alert goes out immediately.

What the scene does not show

The limits come from the preset.

  • She does not diagnose the cause of a noise, a vibration or a warning light over the phone
  • She gives no firm price on a repair that depends on diagnosis; a range stays reserved for routine services, where the shop has written one
  • She does not confirm that a vehicle is ready and invents no status: she takes the message and the advisor calls back
  • She promises no repair deadline before inspection
