The text you get

New appointment — Thursday 9 a.m., with Julie. Biscuit, poodle cross, about 12 kilos. Mats behind the ears, last groom in the spring. Vaccination record requested. Callback: Nadia Ouellet, 613 555-0142.

The right length booked, no improvised price

The appointment lands in Julie’s calendar with the time set for a first groom with mats. Julie reads the summary between two dogs: poodle cross, about 12 kilos, mats behind the ears, last groom in the spring, vaccination record to bring. No price was promised on her behalf.

Tuesday, 10:40 a.m. Julie has a Bernese on the table, wet to the shoulders. A new client calls about her poodle cross.

ReceptionistBel-Air Grooming, good morning. Let me take your name and a callback number first.

CallerNadia Ouellet, 613 555-0142. My poodle cross needs a cut, and he has mats.

ReceptionistNoted. What is his name, roughly how much does he weigh, and where are the mats?

CallerBiscuit, about 12 kilos. The mats are behind his ears. His last groom was in the spring.

ReceptionistThank you. For a first groom with mats, the salon books Julie’s long slot. I can offer Thursday at 9. The price is confirmed once the coat is seen, and the salon asks for the vaccination record on arrival.

CallerThursday at 9 works.

For the requests you receive

First groom for a matted dog

The caller mentions mats behind the ears and under the legs. The receptionist notes where, since when, and the date of the last groom. She promises neither to keep the length nor a shave-down: that decision is made on the table, under your written rule, and any extra charge follows your grid.

The senior, nervous or bite-history dog

She records what the owner states — age, past bite, muzzle, known health condition — without judging the animal. Under your rule, she books a quiet slot or passes the request to you to decide.

“Can you clean his teeth?”

Dental scaling is not grooming: in Quebec, it is an act reserved to veterinarians. She does not book it, points the caller to the animal’s vet and notes the request for you.

Other requests you can delegate

The regular client, booked back at your interval

The animal’s name, groomer and usual cut are on file. She offers a slot with the same groomer, on the rhythm you set for that dog, and confirms by text.

“Is he ready?” at the end of the day

She answers from the status you updated in the app. Without a status, she takes a message for you: she does not invent a pickup time.

What she does for your grooming salon

She describes the animal before booking, applies your grid and your rules, and leaves the scissors, the final prices and the animal’s health to the right people.

When a new client calls about their dog

  • She takes the name and callback number before talking about the animal.

A groomer with wet hands calls back later; the number is noted from the first sentence.

  • She notes the species, name, breed, size and coat, in the owner’s words.

How long a groom takes depends on the animal; a breed name alone does not tell you.

  • She answers about your services, the animals you take and your vaccine requirements, as you wrote them.

“Do you take cats?” gets your answer, not a guess.

  • She gives the price from your grid when size and coat allow it, and otherwise says it is confirmed once the animal is seen.

A matted coat described over the phone is not priced blind.

When the appointment is booked

  • She offers the slot with the length your grid sets, with the groomer asked for.

A full groom booked into a short slot pushes back the whole salon day.

  • She accounts for the tables, tubs and groomers you declared as resources.

Two large dogs at the same time need two stations, not one.

  • She marks as a request to confirm a first groom that your rule wants to see before booking.

You keep the decision on an animal nobody at the salon has seen yet.

  • She sends the confirmation and reminder by text, with the vaccination record if you require it.

The owner arrives with the proof you ask for, not with a question.

When a decision about the animal is needed

  • She records a past bite, a muzzle or a health condition as the owner states them.

Your rule decides the slot or the acceptance; she does not judge the dog.

  • She points any request for dental scaling, sedation or care to the animal’s vet.

In Quebec, dental scaling is an act reserved to veterinarians: it does not go into your calendar.

  • She passes a complaint or an animal hurt after a groom to you right away, without assessing anything.

The owner is pointed to their vet, and you get the exact words of the call.

  • She answers “Is he ready?” from the status you updated, or takes a message.

No pickup time is made up at the end of the day.

Back at the interval, and deposits

Each of these options is added separately, when it is useful to you.

  • Add-on

She offers the next appointment on the rhythm you set for each dog.

The regular client comes back to the same groomer without having to think about it. Rebooking and retention

  • Add-on

She offers a cancelled slot to the salon’s waiting list.

When the owner writes, and if you already use software

  • Without connected software, she keeps the calendar she books into and sends you every appointment.

No second calendar is presented as synced.

  • Channel

She carries on by text or on your website the request started on the phone.

The animal described during the call stays in the same request. Text and website chat

What she does not do, at a grooming salon

  • She gives no firm price outside your grid.
  • She promises neither to keep the length of a matted coat nor a shave-down.
  • She gives no opinion on skin, ears, teeth or the animal’s health.
  • She books no veterinary act, neither dental scaling nor sedation.
  • She does not say an animal is ready without your status.
  • She takes no door code.

What you can ask her yourself

She answers from the calls, requests and salon information you are allowed to access. A question about an option only applies once you have switched it on.

  • The questionWhich new clients described a matted coat this week?

She reads back the requests recorded, with where the mats are and the last groom stated. She does not assess the coat.

  • Which dogs are past their usual grooming interval?

She finds the last groom date and the interval you set in your requests and appointments. She does not see appointments made outside Zenvox.

  • Which cancelled slots were offered to the waiting list?

Add-onWith Rebooking and retention: the offers sent and their replies. Without the option, she keeps no waiting list.

What happens to the request

  1. You write your grid once

Your services — bath, cut, clip, dematting, nail trim —, the time by size and coat, the animals you take, your vaccine requirements if any, your rule for matted coats and your cancellation policy. You change any of it from the app, whenever you want.

  2. She describes the animal before booking

Name and callback number first, in case the line drops. Then the animal: species, name, breed, size, coat, mats, age and stated temperament. She offers the slot with the right length, with the groomer asked for.

  3. The appointment is booked, the file is waiting

The confirmation goes out by text, a reminder runs before the visit — with the vaccination record if you require it —, and the call summary waits for you in the app. The next appointment is offered at the interval you set.

What the Salons, gyms, classes & shops base covers

A receptionist who answers in your name, in both languages, describes the animal with your questions and books the appointment into your calendar. No setup fee, and you keep your number.

  • Calls answered in French and in English, following the caller
  • The questions from your grid: species, breed, size, coat, state of the hair
  • Booking, rescheduling or cancelling with the planned length and the groomer asked for
  • Your rules stated as written: vaccines, matted coats, cats, cancellations
  • Confirmation and reminder by text before the visit
  • A written summary after every call, readable in the app, and the option to ask her what happened

She gives no firm price outside your grid: a coat nobody has seen is priced at the salon.

Decisions that stay with you
  • She does not promise to keep the length of a matted coat, or a shave-down: that is decided on the table.
  • She gives no opinion on skin, ears, teeth or the animal’s health, and does not discuss sedation.
  • She books no veterinary act: dental scaling belongs to the veterinarian.
  • She does not say an animal is ready without the status you gave.
  • She takes no door code for in-home grooming.

Ask your receptionist, too

This is included in your base plan. She answers using the calls, requests and business information you are allowed to access.

A question you can ask

Which dogs are past their usual grooming interval?

She finds the last groom date and the interval you set in your requests and appointments. She does not see appointments made outside Zenvox.

What else you can hand to her

Beyond the base plan. Each one is added on purpose, separately from the base. None is switched on unless you choose it.

Rebooking and retention

Grooming comes back at a regular interval. The reminder for the next appointment goes out on the rhythm you set for each dog, and a late cancellation is offered to the waiting list.

Deposits and payments

For a first-time client or a long groom, your payment provider’s deposit link travels with the confirmation, and the follow-up stops when the payment lands.

Web and SMS conversations

When the owner prefers to write, she carries on by text or on your website, and the animal described on the phone stays in the same request.

When your customers prefer to write

You can add a channel so she can continue the conversation with your customers. Any action she takes follows the same rules and the options you have chosen.

Optional customer channel

Customer text conversations

The owner replies to the reminder or confirms the appointment by text, in the same request as the call. Autonomous conversation is optional; the confirmation and reminder are already included.

The transactional messages provided by your base plan and your own questions to the receptionist remain included.

The dog is on the table, and the phone rings

A groomer does not leave a dog alone on the table to go answer the phone: it can jump, slip or be left damp. Meanwhile, the caller wants a spot and a price, and describes the animal in their own words: a poodle cross, a shepherd that sheds, a cat that hates the dryer.

How long a groom takes and what it costs depend on the animal: its size, its coat, the state of its hair. Your receptionist asks the questions from your price grid, writes down what the caller says and books the slot with the right length, with the groomer asked for. When your rule is to see the animal before quoting, she says so instead of inventing an amount.

She stays on the grooming side. Teeth cleaning, sedation, a red patch or a worrying ear belong to the veterinarian: she points the caller to the animal’s own vet and passes on to you what was said.

Dog and cat grooming — your questions

Does she give my prices by breed or size?

Yes, the ones in your grid, as you wrote them. When the price depends on the state of the coat, she says so and adds that it is confirmed once the animal is seen. She invents no amount.

What if a client asks about dental scaling or sedation?

She does not book it. In Quebec, dental scaling is an act reserved to veterinarians; she points the caller to the animal’s vet and notes the request for you.

Does she ask about vaccines?

If your salon requires them, she says so and reminds the owner to bring the record. She notes what the owner states; the proof is shown at the salon. She does not say whether a vaccine is enough: that is a question for the animal’s vet.

I groom in clients’ homes. Can she handle my addresses?

She notes the address, parking and access, with no door code, and books within the slots you open by area. The order of your route stays in your software or in your hands.

What does she say about a dog that has bitten before?

She writes it down as the owner describes it, with the muzzle if there is one, without judging the animal. Your rule decides what comes next: a quiet slot, or the request passed to you to accept or decline.

Do I keep my number?

Yes. You forward your line to Zenvox whenever you want — all the time, only when you do not pick up, or on a schedule.

I already use grooming software. Do I keep it?

Yes. Grooming software such as Gingr, MoeGo, Vagaro or DaySmart Pet keeps each animal’s profile and the salon calendar. When yours connects, it stays the system of record; otherwise, Zenvox keeps the calendar the receptionist books into and sends you every appointment, without presenting a second calendar as synced.
