Rebooking and retention

A last-minute cancellation finds a taker, and a next visit gets booked before a client forgets about it.

The task it takes over

An empty chair hour does not come back. It is not pushed to tomorrow: it is simply gone, like a seat on a plane that took off without it. And a cancellation usually lands that morning, while your hands are in a colour and stopping is impossible.

This add-on works both ends of a same problem. On one side, a waitlist: a freed slot goes straight to people already waiting, matched on service, duration and requested professional. On another side, a return: colour work comes round every four to eight weeks, a monthly massage slides then disappears, and one well-timed nudge is often enough.

It talks to people who are already your clients. It is no prospecting engine: lead sources and attribution belong to a different module, and this add-on opens no outbound calls on its own.

Step by step

  1. On a cancellation

A slot goes to whoever waited

A freed slot is offered to waiting clients whose service fits its duration and whose professional matches. If a first declines, an offer moves along.

  2. As a visit ends

A next one gets booked while it is fresh

A rebooking nudge follows a rhythm of a service rather than a generic calendar: a root touch-up and an annual treatment are not reminded alike.

  3. When someone drifts

    One invitation back, once

A client who has skipped past a usual interval gets an invitation matched to what they used to book. A sequence ends on their reply, whatever it says.

  4. At any point

    A refusal is final

A withdrawn consent is written to a record and governs later messages. A channel used is one a person accepted, rather than one that suits you.

An add-on, not a base capability

A Services base identifies a service, books, changes or cancels against availability and known entitlements, and reminds clients of a booked visit. That reminder is included; this add-on does not resell it.

What it adds is a waitlist, a rebooking nudge and reactivation of a client who drifted away. General prospecting and lead source attribution are excluded, and outbound voice is not granted here by dependency.

What this changes for your business

Salons and barbers

A nine o'clock cancellation on a ten o'clock cut: that slot still has value if somebody hears about it within minutes.

Day spas

Treatments book far ahead and cancel late. A waitlist across rooms and practitioners saves paying for an idle hour.

Independent beauty professionals

One rented chair, a personal calendar, no front desk: tracking client returns is often what separates a full month from an average one.

What it receives

  • Requests you place on a waitlist, with service, duration and professional
  • Booking history per client and their usual interval
  • Cancellations and gaps opening up today
  • Contact preferences per person, including withdrawals already recorded

What it produces

  • A freed slot offered to an eligible waiting client
  • A rebooking nudge tuned to a rhythm of a service
  • An invitation back, matched to what a person used to book
  • Exceptions raised: refusals, stale contact details

You decide who enters follow-up, at what rhythm, on which channel. Zenvox judges no hair and no skin, recommends no treatment, and replaces no consultation you require ahead of corrective colour work.

What is metered, and what comes from elsewhere

An allowance here covers clients in follow-up, rather than base calls.

  • Clients active in return or waitlist flows, counted while they sit there
  • Reminders for a booked visit stay included in a base
  • Inbound calls stay metered on a base, separately
  • Messages draw on message allowances already in an account

If you already run a booking platform, its subscription stays its own: this add-on sits beside your follow-up rather than refunding another tool.

With your booking platform

Many salons and studios already pay for an online calendar. A status below is technical qualification; with no qualified connection, follow-up lives in Zenvox.

Questions about this add-on

Is this prospecting?

No. This add-on talks to people who are already your clients: a waitlist, a rebooking nudge, an invitation back. Lead sources and attribution belong to a different module, and outbound voice is not granted here by dependency.

Is the reminder for a booked visit included?

Yes, in the Services base: it identifies a service, books, changes or cancels against availability and known entitlements, and reminds clients of a booked visit. This add-on does not resell that reminder.

At what pace does it reach out to someone who drifted away?

On that person's usual interval, with an invitation matched to what they used to book. The rebooking nudge follows the rhythm of the service: a root touch-up and an annual treatment are not reminded alike.

If somebody refuses, will they be contacted again?

A withdrawn consent is written to the record and governs later messages. The channel used is the one that person accepted, and a sequence ends on their reply, whatever it says.

I already pay for a booking platform. Does this replace it?

No. That subscription stays its own: this add-on sits beside your follow-up rather than refunding another tool. The three software names on this page — Mindbody, Square Appointments, GOrendezvous — sit at 'to be qualified', and with no qualified connection the follow-up lives in Zenvox.
