When you serve buildings — recurring pest control, cleaning, chimney work, asset inspections — your customer is no longer a household. It is a property manager with several addresses, contracted frequencies, reporting requirements, and a different local contact at every site.
So your receptionist works by site, not by person. Her first question is about the identifier of the site involved, and everything else attaches to it: the scheduled service, the frequency, the expected deliverable, the access window, the previous report and the issue to follow up.
It is also a matter of discretion. The documented risk in this trade is exposing one site's data to the wrong contact in a network. One file per account and per site, with access rights, is not administration: it is what keeps a manager from reading the report of a building that is not theirs.
