The group booking, the availability question, the tenant who found the listing: in several trades that arrives through the Page. Your receptionist answers there and files the thread with the customer.
In restaurants, the Page collects quick questions and, above all, group and event requests: can you seat twenty for a birthday. It is a visual industry — discovery happens through photos of the room and the plates — and the question follows the same path. In property management, a good share of prospective tenants arrives through listing platforms and neighbourhood rental groups, so by message rather than by call. In some communities the message simply is the normal channel: immigration practices see it every day.
A group request left unanswered on a Friday evening is a full service booked somewhere else. Your receptionist answers on the Page from your instructions: she takes the date, the headcount, the constraints, states what you accept and what you do not, offers a slot in your calendar when your rules allow it, follows up on a request left hanging if you chose follow-up, and files the thread in your app.
Two conversations, two meters
Your customers write to the Page
They ask about hours, availability for a group, whether a listed unit is still open. The receptionist answers from your instructions, qualifies and passes the request on. Those replies draw on the monthly customer reply allowance.
You write to your receptionist
You ask how many group requests are pending, have a date confirmed, change a capacity rule. That conversation has its own meter, separate from your customers’.
The account it needs, and the connection
One module covers the Page and the professional Instagram account linked to it.
A Facebook Page for the establishment, and its linked professional Instagram account if there is one
Admin access on the Page, long enough to authorize replying to messages
Your capacity, scheduling and deposit rules, written down once
The person a conversation goes to when the receptionist has to hand it over
Your written agreement for her to answer in your business name on that Page
This module does not bring WhatsApp and grants no right to post on the Page. Replying to messages and publishing content are two separate functions, chosen separately.
What it can do on this channel
The Friday-evening group request
Date, headcount, allergies, arrival time, budget if you let her discuss it. The request lands complete in your app, and the booking goes into the calendar when your rules allow it.
“Is the unit still available?”
She answers from the status you keep current, takes the contact details, asks your screening questions and offers a viewing. The request stops living in a pile of unread messages.
When writing beats calling
Time zones, language, a delicate subject: some people will write and will not call. The reply goes out in the language of the message, and the file is the same one a call would open.
What is metered on this channel
Replies from the receptionist to your customers, on the monthly customer reply allowance
That allowance is shared across the conversation channels you added
Your own conversation keeps a separate meter
Calls keep theirs, unchanged
The module covers one establishment: one Page and its linked Instagram account
No carrier transport charge: the platform carries the messages
Replying grants no right to price, to take a deposit or to publish: each of those acts comes from the module that carries it.
Windows, consent and hand-off
The rules about when you may write belong to the platform, and they are stated up front.
A customer message opens a reply window; once it shuts, only a format the platform permits can reopen it
Window shut, the receptionist waits or uses a permitted format: she does not work around the rule
A customer message opens no owner rights, whatever it asks for
Account disconnected or allowance spent: the thread stays readable and the person can resume
Repeat events for one message are de-duplicated, attachments scanned, the reply filed on the right thread
A withdrawal expressed here holds across every channel on that file
Anything past the frame is turned over to the person you named, with the whole thread
Help on this channel
This channel has no page other than this one. The help explains how messages arrive, what is recorded from them and what you see in your app.
Messenger and Instagram share one module: switching both on is a single addition. The other messaging apps — WhatsApp, and the ones your customers use elsewhere — are separate channels, qualified one at a time.
Little on the work itself: the same instructions, the same qualification, the same limits. The difference is the audience. Messenger stays present with a share of owners and more established customers, and a business page often works as a local directory: questions lean toward hours, address and availability rather than a precise service.
Do we have to give access to our whole Facebook page?
You authorise the page inbox, from your own settings, and you remove that authorisation in the same place. The receptionist publishes nothing, does not answer public comments and does not touch your campaigns: it handles private conversations.
What happens when the reply window closes?
The platform no longer allows a free reply. The receptionist waits for a new message or uses an eligible format; it looks for no detour. If the request is urgent and you left a number in your instructions, it invites the person to call rather than leaving them without an answer.
Do Messenger messages land in the same place as calls?
Yes. A written conversation and a call about the same subject stay attached to one customer file, with the structured request that comes out of it. Your team reads what follows without opening three applications.
What is metered?
Written replies to customers, on the monthly allowance shared across the conversation channels you added. Instagram and Messenger belong to one module: switching both on is a single addition. Calls keep their meter, and your owner conversation keeps its own.
Can it answer in English and in French on this channel?
Yes, in the language of the message received. The receptionist does not mix the two inside one conversation, and it applies the same service instructions in either.
What happens overnight and at weekends?
The receptionist answers during the hours you set, and you choose what happens outside them: reply anyway with a sentence saying when your team picks things up, or note the request and wait for opening. Either way the request is written down and you find it when you wake up, with the whole thread. An urgent case follows the rule you wrote: alert, transfer to a number, or an invitation to call.
