Availability and recalls
A hole in a dental schedule is expensive by the hour. The freed slot is offered to an approved list, and hygiene recalls follow the practice rule.
The request is written into Zenvox while the dentist has both hands busy. At Dentitek external access is not established, and the online booking link is the planned fallback.
7 days, 20 answered calls, no card
The request is written into Zenvox: new or existing patient, reason, urgency, insurer stated and workable time ranges. Dentitek keeps the truth of the chart and of the calendar per chair. External access is not established: nothing is written there, and the explicit fallback the research names is the online booking link sent by text.
On access, the research is blunt: the required operations are known — find the patient, read appointment types, write the appointment, receive the cancellation — but external access is not established, and documentation has to be requested per version and per region. That absence calls for a request, not a conclusion, and nothing is asked of you meanwhile.
Dentitek holds the chart, the calendar per chair and insurance billing; a dentist cannot pick up between two steps, and a new patient who reaches voicemail calls the next clinic.
The status below reflects an access qualification that was not established. It moves only on documentation obtained, version by version.
| Action | Status | What that means |
|---|---|---|
| Read | To qualify | Finding a patient and reading appointment types and authorised resources are the required operations. External access is not established; documentation has to be requested from the vendor for your version and your region. |
| Create | Zenvox native mode | While no access is granted, the receptionist books nothing in your software. She prepares the request with reason, patient status and workable time ranges, and texts out the clinic booking link when one exists. |
| Update | Zenvox native mode | Moving an appointment commits the chair, the hygienist and treatment duration. Moving stays with the front desk, working from a request already qualified and attached to the right chart. |
| Cancel | Zenvox native mode | A cancellation is taken, time-stamped and passed on with the freed slot. Two patients cannot claim the same seat: the second request stays pending with an alternative, and no second confirmation goes out. |
Answering in the evening, at lunch and on weekends, telling a new patient from an existing one, applying your emergency protocol, recording the insurer without confirming coverage, and handing you everything: that is your healthcare base. Waitlists and administrative insurance follow-up are named add-ons.
While access is not established, your practice rules hold, and they get written before day one.
Seven in the evening, the clinic is closed. The dentist has left, so has the front desk. The call is taken by Zenvox; nothing is written into the software.
CallerHi, I broke a tooth while eating. It hurts, but there is no swelling.
ReceptionistLet me take your full name and a callback number first. Are you already a patient with us, or would this be a first visit?
ReceptionistI am logging a dental emergency with no sign of swelling. If swelling reaches your face or neck, or if breathing or swallowing becomes hard, call 911 or go to the hospital emergency room. Otherwise the clinic calls you back as a priority when it opens.
The clinic receives an urgent request under the patient's name, with the words used, the time of the call and the safety instruction as stated. The priority callback goes out first thing, instead of the call being lost in a voicemail box.
That is today status, and the online booking link is the explicit fallback the research names. Nothing stops.
No, because external access is not established. She prepares the request with reason, patient status and workable time ranges, and texts out the clinic online booking link when one exists.
That is the only honest route: documentation has to be requested from the vendor, for your version and your region. The required operations are known — find the patient, read appointment types, write the appointment, receive the cancellation — and access is not.
No. The second request stays pending with an alternative, and no second confirmation goes out. A cancellation is taken, time-stamped and passed on with the freed slot.
No. The insurer stated is recorded without coverage being confirmed, and no firm price is given on the phone: that depends on the exam. The dentist keeps the clinical decision and consent to treatment.
