  1. Your units and rules get described once

    Each unit, its arrival and departure hours, its house rules, its equipment, its assigned cleaner, your local backup contact, and the identity check you require before access is released.

  2. She re-reads the booking before she speaks

    Name, callback number, unit and dates, the channel a booking came through, identity verified. Live status is re-read in your booking system, and that status governs.

  3. The incident closes, and turnover follows

    A request keeps its status until resolution, cleaning or maintenance confirms, and getting a unit ready attaches to the following stay. Resolution time is measured, unit by unit.

A short-term rental turns on two or three critical hours: arrival, departure, and the moment something fails. A guest knows neither your organisation nor your contractors; a guest knows an address, a code and a time. With no answer, they message on the platform, then by text, then they call back — and three parallel conversations end up contradicting each other.

Your receptionist first ties a person to a booking: which unit, which dates, which source channel, and the identity you require before an access code is handed over. She then re-reads live status in your booking system, because a stay may have been changed while she was answering.

Everything else is coordination: an incident becomes a request assigned to cleaning or maintenance, a turnover running late pushes back an arrival time before it is announced, and anything touching compensation or an exceptional cancellation comes up to you. She decides no refund.

Does she hand an access code to anyone who asks?

No. She ties a call to a booking and applies the identity check you set before releasing anything. With no match, she takes contact details and alerts your local contact.

Can she grant a late checkout or an extra night?

She prepares a request and puts it to you. Once your approval is written into the system, she confirms to a guest. Compensation or an exceptional cancellation stays entirely your call.

What about cleaning between stays?

It is planned inside the real window between a departure and the following arrival, as an intervention with an owner, a confirmation and a closure. A turnover running late comes up before an arrival time is announced to a guest.

What if a booking changes mid-call?

The booking system governs: she re-reads it before confirming, and a synchronisation incident between channels comes to you instead of being settled by her. That is what stops a spoken confirmation from contradicting an actual write.

Does she ask guests for reviews?

Only if you switch that on, and within the rules of the platform involved. No public response is posted without your authorisation, and nothing goes to a guest whose stay ended badly before you have seen it.
