Recurring lessons need a consistent place in the teacher’s schedule, even when a cancellation requires a make-up session. Your receptionist organizes requests around the instrument, location and lesson package rules, restoring a credit only after the lesson’s status has been confirmed.

Keep lessons and make-ups aligned with the schedule and package
The trial is booked with the right teacher, the right instrument and a confirmed location. The teacher reads the summary beforehand and already knows the age, the instrument and the lack of experience.

Monday, 7:45 p.m. The teacher is giving a piano lesson. A mother calls to enrol her son and would like a stable weekly slot.
ReceptionistPapineau Music School, good evening. Let me take your name and a callback number.
CallerCaroline Fortin, 418 555-0138. My son is nine and would like to learn guitar, on Wednesdays if you have it.
ReceptionistThank you. Guitar, age nine, Wednesday: Simon teaches guitar on Wednesdays at the Papineau studio, and a lesson runs forty-five minutes. Do you have a guitar at home, or should we plan on an instrument at the studio?
CallerWe have one. Could we try it out before committing?
ReceptionistYes. I am booking a trial lesson on Wednesday at five with Simon. He will confirm the level and, if it suits, we set the recurring slot for the session. You will get the confirmation by text with the holiday calendar.
Example. A written exchange showing the flow, not a recorded call.
For the requests you receive
Holiday, cancellation and make-up
With Courses and progression, she follows a make-up linked to a lesson whose status the teacher has confirmed. Memberships and packages manages package entitlements under your agreement. In the base, she reads existing credits for booking; a caller’s statement does not create a credit.
In-home or online lesson
The place changes the slot: travel time, an instrument available on site, a video link to send. The receptionist captures all of it before booking.
School with several teachers
Several teachers, several locations, assignment rules. The request is matched against your criteria, and the final assignment stays a management decision.
Other requests you can delegate
Independent teacher
The relationship and the payment are direct. The receptionist protects your teaching schedule, takes requests during lessons, and hands you one file per student.
What happens to the request
You describe your teachers and your rules
Each teacher's instruments and levels, the places and formats offered, lesson length, your holiday calendar, your make-up and credit policy, and the matching criteria you approve.
She matches before she books
Name and callback number, student and representative where relevant, instrument and subject, level, private or group format, place wanted, recurring availability and any credit already held.
The recurring slot is set
The trial is booked, then the weekly slot once the match is approved. Confirmations and reminders go out by text, and you read every call summary in the app.
What the Beauty, fitness and lessons base covers
A receptionist who answers in your name, in both languages, identifies the lesson being asked for and books it with the teacher, duration and place it needs. You keep your number.
Calls answered in French and in English, following the caller
The instrument, level and format being asked for, identified
Booking, rescheduling or cancelling within known availability and rights
The teacher, duration and place each lesson requires
Approved prices, conditions and enrolment steps explained as written
A written summary after every call, readable in the app, and the option to ask her what happened
She credits no lesson back before the teacher has confirmed its status.
Decisions that stay with you
She does not judge a student's level: the teacher confirms it at the first lesson.
She assigns no student to a teacher outside the criteria you approved.
She changes no package without the manager's or the paying parent's agreement.
She promises no named teacher before checking that schedule and that location.
She does not charge twice for a lesson that was made up.
Ask your receptionist, too
This is included in your base plan. She answers using the calls, requests and business information you are allowed to access.
Manage a lesson package: pauses, renewals and entitlements under the agreement. Reading existing credits to book a lesson remains included in the base.
When your customers prefer to write
You can add a channel so she can continue the conversation with your customers. Any action she takes follows the same rules and the options you have chosen.
Teachers, students, packages and attendance are the objects to write, and a Quebec model for pairing teacher with student was observed. The named vendor, the interface rights and the lesson-credit semantics have yet to be established.
The teacher is in a lesson, and enrolment happens in the evening
A music lesson runs forty-five minutes to an hour, and for that whole time the teacher is with a student. Families call after dinner and at back-to-school time — exactly when the studios are busy. The call nobody takes goes to the next teacher, and a recurring slot lost is lost for the whole session.
Matching is what makes this trade particular. A free teacher is not enough: you need the right instrument, the right level, a suitable place — studio, home or online — and a schedule that holds week after week. A compatible teacher is not necessarily available where and when the student can come.
Your receptionist identifies the instrument, stated level, format and age, then books using existing availability and entitlements. You approve the match and confirm the lesson took place. Courses and progression adds administration of the learning path; Memberships and packages manages the package.

Music schools and private lessons — your questions
Can she set a recurring slot?
Yes, once the trial has happened and the match is approved. Before that she books the trial: a weekly slot built on an uncertain match falls apart after two lessons and holds the studio for nothing.
How does she track package credits?
In the base, she checks credits already recorded to determine whether a lesson can be booked. With Courses and progression, she follows lessons confirmed by the teacher and make-ups in the learning path. Managing a package, its pauses and renewals belongs to Memberships and packages. A caller’s statement alone does not create a new credit.
What about in-home lessons?
She takes the address, the travel time and the instrument available on site before booking, because those three change the real slot. For an online lesson she sends the link with the confirmation.
Who decides which teacher is assigned?
You do. The receptionist matches on your criteria — instrument, level, location, schedule — and leaves you the final call when several teachers fit or an assignment rule applies.
Does she answer in English?
Yes, she follows the caller's language, and the confirmation goes out in that language. Your school name, your hours and your rules are written once and serve both.
