Class pass
Every booking draws a credit, every in-time cancellation gives it back, and expiry counts. The receptionist checks the balance before booking rather than after.
The last place in a class requires both available capacity and a valid access entitlement. Your receptionist checks session credits, follows your cancellation policy and offers the waitlist when the class is full, without confirming a booking before it is recorded.

Every booking draws a credit, every in-time cancellation gives it back, and expiry counts. The receptionist checks the balance before booking rather than after.
When capacity is reached, the caller is placed on the list with a rank. As soon as a spot opens it is offered, without waiting for the next class to end.
A prerequisite applies. The request goes to the instructor for a decision instead of being booked outright, and the caller is offered a suitable class meanwhile.
Rights are broad, but late-cancellation penalties still exist. The receptionist applies your policy and states it plainly as she books.
The caller saw a class clip on Instagram before calling to book. The receptionist answers about the class, the level and open spots with your prepared responses.
No false confirmation goes out, no session is drawn from the pass, and the member leaves the call with a real rank on the waiting list plus a fallback.
Saturday, 9:50 a.m. The instructor is teaching. A member calls to take the last spot in the eleven o'clock class.
ReceptionistStudio Beaudry, good morning. Let me take your name and a callback number.
MemberRoxanne Gervais, 514 555-0158. I can see one spot in the eleven o'clock class; I will take it.
ReceptionistLet me check your pass before booking you in... you have one session left, valid until the end of the month. I am writing the booking now.
MemberPerfect.
ReceptionistSomeone else took that spot while I was writing, so I am not confirming it. I am putting you first on the waiting list and I will text you as soon as a place opens; the quarter-past-twelve class still has room, if you would rather.
Your disciplines and their levels, the class timetable and the capacity of each room, your credit formulas and their expiry, your cancellation and credit-back policy, and the prerequisites that need the instructor's opinion.
Name and callback number, discipline, level, class and occurrence wanted, credits or pass held, capacity left, instructor and equipment required. Then she books or places on the waiting list.
The caller gets the confirmation by text once the place is written, with a reminder before the class. You read every call summary in the app, including the credits touched.
A receptionist who answers in the studio's name, in both languages, identifies the class being asked for and books within capacity and known rights. You keep your number.
She confirms no spot before the booking is actually written.
This is included in your base plan. She answers using the calls, requests and business information you are allowed to access.

Which classes have clients asking for another available spot?
She retrieves the requested class and date. Automatically offering a released spot belongs to the rebooking add-on.
Beyond the base plan. Each one is added on purpose, separately from the base. None is switched on unless you choose it.
You can add a channel so she can continue the conversation with your customers. Any action she takes follows the same rules and the options you have chosen.
Optional customer channel
Continue discussing the class occurrence and known credits; confirm no spot before checking capacity.
The transactional messages provided by your base plan and your own questions to the receptionist remain included.
Check the actions supported, connection requirements and how to work when your software cannot perform the requested action.
Classes, bookings and purchases are documented in the vendor model, and cancellation permissions need particular scrutiny. Live access, interface call costs and credit behaviour still have to be proven on a real account.
In a group class studio the room has a capacity and the timetable is fixed. It looks like a simple seat counter, and it is not: an open spot is worth nothing if the person does not hold the right credit, or if the class needs a level they have not reached. Booking anyway creates a problem the instructor discovers as the class starts.
The other trap is timing. You are teaching when the phone rings, and you do not walk out on twenty people to answer it. Cancellations, for their part, come at the last minute: a spot opens, the waiting list exists, and nobody is free to work it in time.
Your receptionist identifies the discipline, the level and the credits available, checks the class, the capacity and the instructor, then books or adds to the waiting list under your rule. She confirms only after the spot is written — because two people can be reaching for the last place at the same moment.
The other lines of work in this section run on the same engine, with their own requests and their own rules.
Beauty, fitness & lessonsShe confirms only after the booking is written. If the spot goes meanwhile, she says so plainly, offers the waiting list and another occurrence. A confirmation sent too early costs more than a no.
Yes, before booking. An open spot is worth nothing without the matching credit or right, and an expired pass is easier to sort out on the phone than at the studio door.
She does not decide level. The request goes to the instructor for a decision, and meanwhile she offers a class that suits the level stated.
She states it as she books and applies it when a cancellation comes in, credit-back included where your rule provides for it. Exceptions stay a manager's decision.
No. Members who book online keep doing so. She takes the calls the app does not cover: the question, the trial, the odd case, and the hour when you are on the floor.
