Windows and doors

A broken window crank goes to service; replacement openings go to the advisor covering that area. Your receptionist distinguishes the two, records the openings involved and offers the appropriate visit. For an existing order, she uses the status you have recorded.

For the requests you receive

Repair and service

Misted sealed unit, broken crank, torn screen, weatherstripping, caulking. She recognises a service request and sends it to your service calendar, not to a sales advisor's. Missing that split is the most expensive mistake in this trade.

Full project, several openings

A bungalow, one floor, a whole elevation. She counts the openings one by one, notes which floor each is on, separates windows, doors and patio doors, asks whether measurements or drawings already exist, and offers a measure visit.

Order in production

Once the order is placed, the calls change: "where is my patio door?" She answers with the status you recorded on the file and passes you anything that needs a decision, so your advisors sell instead of chasing production updates from the car.

Other requests you can delegate

Renovation or new build

New construction is priced from drawings, renovation from measurements taken at the house. She asks early, requests the drawings and their revision when there are any, and records the building constraints as the caller describes them.

Separate paths for service, projects and order updates

The request arrives in writing: eight windows and one door, single-storey bungalow in Blainville, renovation, rebate question to pick up. The measure visit is already in the calendar of the advisor for that area, and a reminder goes out before it. Your advisor, meanwhile, did not leave the couple standing in front of her.

Thursday, 11:40 a.m. The advisor is in the showroom with a couple. A man calls to "get a price on some windows".

ReceptionistPortes et Fenêtres Rive-Nord, good morning. Let me take your name and a callback number first, in case we get cut off.

CallerMarc Gagnon, 450 555-0173. I want a price to change my windows.

ReceptionistOf course. Is this replacing several openings, or a repair on one window in particular — a misted unit, a crank?

CallerNo, it is the whole house. Eight windows and the front door. A bungalow in Blainville.

ReceptionistNoted: eight windows and one door, all on the main floor. I cannot give you a price over the phone — the openings are built to measure and they get measured to the quarter inch. I will book you a measure visit with the advisor who covers Blainville; he will show you the finishes and you will leave with a written figure.

CallerAnd the rebate, do I qualify?

ReceptionistThe program covers replacing an existing opening in full with a certified product, and the energy assessment happens before the work. Eligibility is confirmed with the program — I am putting it on your file and the advisor will pick that up with you.

Example. A written exchange showing the routing, not a recorded call.

What happens to the request

  1. You write your two worlds down once

What counts as a project, what counts as a repair, your advisors' territories, your showroom hours, and what your receptionist does not say: no price, no program eligibility, no deposit. All of it changes from the app.

  2. She routes before she qualifies

Name and callback number first, in case the line drops. Then project or repair, how many openings and on which floor, the address with the postal code, renovation or new build, and the timing the caller wants.

  3. A measure visit, not a voicemail

The request reaches you in writing, and the appointment lands in the calendar of the advisor who covers that postal code — one advisor does not do Gatineau in the morning and Sherbrooke in the afternoon. A reminder goes out before the visit, because what it protects is not a time slot: it is an hour or two of a salesperson on the road.

What the Trades and maintenance base covers

A receptionist who answers for you, in both languages, and sends you a written request. No setup fee, and you keep your number.

  • Calls answered in French and in English, following the caller
  • Name and callback number taken first, so nothing is lost if the line drops
  • The work asked for, the place and the wanted timing, written into your request
  • An immediate alert when the situation matches your urgency rule
  • A written summary after every call, readable in the app, and the option to ask her what happened

She does not name an installation date before measurements are taken and the order is placed.

Decisions that stay with you
  • She does not give a price per opening, or a ballpark: an opening is built to measure and is priced after the site measurement.
  • She does not confirm eligibility for a rebate program: she explains the general principle and sends confirmation back to the program and to your advisor.
  • She does not take a deposit and does not ask for a card number over the phone.
  • She does not push for a signature and does not invent a deadline: in this trade, urgency on the phone sounds like high-pressure selling.

Ask your receptionist, too

This is included in your base plan. She answers using the calls, requests and business information you are allowed to access.

Talk to your receptionist

A question you can ask

Which window projects involve openings on several floors?

She reads the openings, floors and stated dimensions. Your team validates manufacturing measurements.

What else you can hand to her

Beyond the base plan. Each one is added on purpose, separately from the base. None is switched on unless you choose it.

Assisted estimates

Prepare the estimate for approval, retain the selected doors or windows and follow up on the customer’s decision. Each revision stays linked to its version; a manufacturing question uses the status actually available.

Lead capture and sales follow-up

You can see where each request came from — Google profile, your manufacturer's network, a quote platform, advertising — and which one ended in a signed order.

AI mailbox

Your customer photographs his openings and emails the lot before he even calls. The inbox attaches them to the right file instead of leaving them asleep in a shared mailbox.

When your customers prefer to write

You can add a channel so she can continue the conversation with your customers. Any action she takes follows the same rules and the options you have chosen.

Optional customer channel

Your email inbox

Continue email discussions about openings and submitted plan versions without approving manufacturing dimensions.

The transactional messages provided by your base plan and your own questions to the receptionist remain included.

Keeping your current software?

Check the actions supported, connection requirements and how to work when your software cannot perform the requested action.

  • Exterior measurements and window groups are documented. The order of groups inside the file is not guaranteed: reconciling it against your own take-off is still needed, and none of it says anything about hidden condition.

  • Your network's quoting software stays the master of the estimate, the scaled drawing and the order. Reading its production lead times has to be qualified case by case; the receptionist does not produce an estimate.

  • Requests referred by a platform and delivered to several contractors at once. Carrying the context over and the contact rule both have to be qualified with the partner.

What if I do not use business software?

The phone rings while your advisor is with a customer

At a window and door dealer, the problem is not that nobody answers. It is that the person answering is already standing in front of someone, a finish sample in her hands, in the middle of the showroom. The incoming call comes second to the customer who is physically there — and the caller has two or three numbers open in front of him, because an openings project gets shopped by asking several companies for a quote the same evening.

Your receptionist takes that call for you. She starts with the question that separates your two worlds: a full project, or a repair. A misted sealed unit, a crank, a screen — that is a short service visit. A house having its openings replaced needs an advisor on site with finishes and your manufacturer's software. Treating one like the other is expensive both ways: an advisor driving out for a piece of hardware, or a full project handled like a work order.

There is close to no emergency in this trade, and this page will not sell you one. The promise here is not answering at three in the morning: it is answering during your showroom appointment, at lunch, on Saturday morning, and in the early evening — when a homeowner shops his project after supper, often with his partner beside him.

Windows and doors — your questions

How does she tell a repair from a project?

It is her first qualifying question, before anything else. A misted unit, a screen or a crank goes to your service calendar; replacing openings goes to an advisor's, with a slot long enough to present finishes and measure. You are the one who writes where the line sits.

Does she book into the right calendar?

Yes. She offers slots from the advisor who covers the caller's postal code, not the first free slot. A Gatineau to Sherbrooke round trip in one day does not happen, and a calendar that ignores that produces appointments nobody can keep.

Who answers the "where is my order" calls?

She does, using the status you recorded on the file, and she passes you anything that needs a decision. Your advisors get their selling hours back instead of doing customer service on orders that are already signed — that is the second bottleneck in this trade, after missed calls.

Can she give a price over the phone?

No. An opening is built to measure, the measurements are taken to the quarter inch, and the install method changes everything depending on whether the frame stays or comes out. A figure given on the phone would be wrong one way or the other. She explains why, captures the request, and books the measure visit.

What about rebates?

She explains the general principle — replacing an existing opening in full, a certified product, an energy assessment before the work — and records the question on the file. She confirms no eligibility: that is settled with the program, not on the phone.

Do I handle emergencies with this?

Your trade has close to none, and the setup reflects it: the immediate alert stays at rest until you write it. A broken pane after a break-in is the real case, and you decide whether it raises an alert or waits for the end-of-day summary.
